The Personal Assistant to the CEO plays a strategic and operational role in ensuring seamless executive support, effective communication, and smooth coordination across the organization.
This role is essential for enabling high-level decision-making, supporting special projects, and strengthening operational efficiency across the CEO’s office.
Job Description
🔹 Calendar & Schedule Management
Manage and prioritize the CEO’s calendar
Schedule meetings, resolve conflicts, and coordinate with internal & external stakeholders
🔹 Travel Coordination
Handle travel authorizations, bookings, accommodations, visas, and itineraries
Prepare travel-related expense reports and ensure compliance with company policy
🔹 Meeting & Event Support
Assist in planning internal/external meetings and events
Create agendas, prepare presentations, manage logistics, and coordinate vendors
🔹 Information & Document Management
Support cross-functional teams with administrative tasks
Maintain accurate document filing systems and corporate records
🔹 Office Administration
Oversee general office operations
Manage supplies, documentation, minutes, and basic bookkeeping
🔹 Podcast Production & Website Content Support
Work with the CEO on the CEO Series podcast (twice weekly)
Coordinate production, upload episodes on the CTH website & YouTube
Ensure timely website updates with new content
🔹 Speech Writing
Draft and refine speeches, talking points, and presentations
Ensure alignment with CTH’s strategic messaging and values
🔹 Grants & Funding Support
Review/edit grant applications
Compile supporting documents and ensure donor compliance
Qualifications & Requirements
Bachelor’s Degree in Communications, Media, PR, English, International Relations, or related fields
Minimum 2 years experience in executive support or project coordination
Experience in podcast production or media development (added advantage)
Strong writing, editing, and research skills
Basic knowledge of podcast tools and CMS platforms (e.g., WordPress)
Excellent time management, attention to detail, and organizational skills
High integrity and ability to handle sensitive information
Proactive, creative, emotionally intelligent, and able to work in a dynamic environment
