Job Description

Whip Smart Service Providers Limited is recruiting for the position of Human Resource Administrator in Ikeja, Lagos.

The HR Administrator will provide administrative and operational support to the Human Resources function, ensuring efficient HR processes, accurate employee records, effective recruitment coordination, and a positive employee experience.

The successful candidate will also help ensure that HR documentation and processes comply with organisational policies and applicable labour requirements.

Key Responsibilities

HR Administration

  • Maintain accurate and up-to-date employee records and HR databases.
  • Manage employee documentation, including employment contracts, onboarding documents, and policy acknowledgements.
  • Prepare HR documents such as employment letters, confirmation letters, and internal memos.
  • Maintain confidential personnel files and ensure appropriate data protection practices.
  • Compile employee information and HR metrics for periodic reporting.
  • Ensure HR records are properly organised and accessible when required.

Recruitment

  • Coordinate recruitment activities, including posting job advertisements and scheduling interviews.
  • Review applications and support the shortlisting of candidates.
  • Communicate with candidates throughout the recruitment process.
  • Schedule interviews and coordinate recruitment-related activities.
  • Prepare offer letters and onboarding documentation for successful candidates.

Onboarding & Employee Lifecycle Management

  • Coordinate onboarding activities and orientation for new employees.
  • Ensure all required onboarding documentation is completed and properly filed.
  • Track employee probation periods and notify relevant managers when performance reviews are due.
  • Support employee offboarding processes.
  • Coordinate exit documentation and clearance procedures.

HR Operations & Compliance

  • Support the communication and implementation of HR policies and procedures.
  • Monitor employee attendance and leave records.
  • Maintain HR administrative systems and documentation.
  • Assist with compliance with applicable labour regulations and company policies.
  • Support internal HR audits and documentation reviews.

Employee Engagement & Support

  • Assist in organising employee engagement activities and internal events.
  • Support the communication of HR initiatives and internal announcements.
  • Serve as a point of contact for employees seeking assistance with basic HR-related enquiries.
  • Contribute to a positive and professional employee experience.

Key Performance Indicators (KPIs)

Performance in this role will be assessed based on:

  • Accuracy and completeness of employee records and HR documentation.
  • Timely completion of HR administrative processes.
  • Efficiency of recruitment coordination and onboarding activities.
  • Compliance with HR policies and documentation standards.
  • Quality and responsiveness of administrative support provided to employees.

Qualifications & Requirements

Educational Requirements

  • Bachelor’s degree, HND, or equivalent qualification in a relevant discipline.

Experience

  • 2–5 years of relevant experience in Human Resources, HR administration, recruitment, or a related field.

Skills & Competencies

Candidates should demonstrate:

  • Strong organisational and administrative skills.
  • Excellent attention to detail.
  • High levels of confidentiality and integrity when handling sensitive employee information.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office applications.
  • Familiarity with HR systems and administrative tools.

  • Ability to work efficiently and meet deadlines in a fast-paced environment.

Professional Certification

  • CIPM or another relevant HR certification will be an added advantage.
