Job Description

Staffbridge Recruitment Agency is seeking a highly organised and proactive Administrative Assistant / Office Manager to support daily operations and client-facing activities in a fully remote capacity.

The successful candidate will play a key role in office coordination, communication management, and administrative support, ensuring smooth internal operations and excellent service delivery to clients and partners.

Key Responsibilities

  • Manage calendars and inboxes, including scheduling, follow-ups, and time zone coordination
  • Communicate professionally with clients and partners via email and phone
  • Support meetings by preparing agendas, taking notes, and tracking action items
  • Coordinate office operations including vendors, supplies, equipment, and basic facilities needs
  • Provide administrative support for client documentation (NDAs, SOWs, document filing, e-signatures)
  • Track deadlines, send reminders, and manage simple task or project trackers
  • Handle travel and expense coordination, including bookings, receipts, and reimbursements
  • Support basic finance tasks such as invoice follow-ups, timesheets, and coordination with accountants
  • Use collaboration tools to support remote workflows and team coordination
  • Create simple visuals or posters using tools like Canva when required

Qualifications & Requirements

  • Bachelor’s degree in Business Administration, Office Management, or a related field
  • Relevant administrative or office management certifications are an added advantage
  • Strong working knowledge of Microsoft 365 and Google Workspace
  • Experience using collaboration tools such as Teams, Zoom, Asana, Trello, or ClickUp
  • Ability to manage multiple priorities and deadlines efficiently
