Job Description
AI Acquisition is seeking a Client Success Virtual Assistant – Onboarding Bottlenecks to join its growing Customer Success Team.
This position focuses on ensuring a seamless onboarding experience for new clients by tracking their progress, resolving bottlenecks, and maintaining consistent communication.
You’ll play a vital role in managing client follow-ups, coordinating internal updates, and supporting the team to keep the onboarding process efficient and organized. This is a remote, full-time position (40 hours per week) designed for detail-oriented professionals who enjoy structure and proactive client engagement.
Key Responsibilities
Client Follow-Up & Monitoring
- Track newly onboarded clients who have paid but haven’t completed required forms.
- Follow up promptly to ensure timely form submission and scheduling of onboarding calls.
- Identify delays and communicate professionally with clients to keep them on track.
Bottleneck Resolution & Communication
- Detect and resolve onboarding challenges before they escalate.
- Maintain transparent communication with clients and internal teams.
- Provide regular updates to the Client Success Team about progress and issues resolved.
Administrative Support
- Manage onboarding-related administrative processes and ensure data accuracy.
- Use internal systems to monitor client progress and maintain up-to-date records.
Qualifications & Requirements
- Strong organizational and follow-up abilities.
- Experience in client communication and administrative coordination.
- Excellent attention to detail and multitasking skills.
- Proactive problem-solver with a strong sense of responsibility.
- Familiarity with onboarding workflows and task management tools (e.g., Asana, Slack) is an advantage.
