Job Description

The Executive Assistant will coordinate and manage administrative and operational activities while supporting senior executives. The role involves managing schedules, documentation, correspondence, and event logistics to ensure efficient executive operations.

Key Duties

  • Review and filter incoming and outgoing mail and calls.
  • Act as a liaison and first point of contact with internal and external stakeholders.
  • File and organize paper and electronic documents (emails, reports, records).
  • Secure venues, coordinate catering, and logistics for meetings/events.
  • Prepare internal and external corporate documents for executives and partners.
  • Schedule meetings, appointments, and manage travel itineraries.
  • Maintain an organized filing system of documents.
  • Uphold confidentiality and professional standards.
  • Order office supplies and manage records database.
  • Implement data protection policies (NDPR and related laws).
  • Conduct Data Protection Impact Assessments as necessary.
  • Ensure awareness and compliance with QHSE policies and ISO standards (9001:2015, 14001:2015, 45001:2018).

Qualifications & Requirements

  • Bachelor’s degree in Business Administration or related field.
  • Postgraduate/professional qualification is an advantage.
  • Minimum of 3 years’ experience as an Executive Assistant reporting directly to senior management.
  • Advanced MS Office skills (Word, Excel, PowerPoint).
  • Strong organizational and problem-solving skills.
  • Excellent interpersonal and communication abilities.
  • Ability to collaborate, delegate, and manage multiple tasks under pressure.
  • High professionalism and discretion.
