Job Description

IRC is seeking a highly organized Country Office Receptionist to manage the front desk and ensure a professional, welcoming experience for staff, visitors, and partners. The role involves administrative support, travel coordination, document handling, and general office management.

The ideal candidate is detail-oriented, customer-focused, and able to multitask in a fast-paced humanitarian work environment.

Key Responsibilities

Front Office Management

  • Welcome and direct visitors to appropriate offices.
  • Receive, track, sort, and distribute mail, packages, and courier deliveries.
  • Assist transiting staff and manage front desk operations.
  • Coordinate with security guards to ensure proper visitor registration.

Administrative & Travel Support

  • Perform clerical tasks such as scanning, photocopying, filing, and organizing documents.
  • Support administrative payments, liquidations, and financial tracking.
  • Assist in general office management tasks.
  • Support booking, tracking, and processing of travel arrangements (flights, accommodation, etc.).
  • Upload travel-related documents to IRC’s online Box folders.
  • Manage kitchen register and subscription tracking with bi-weekly updates.
  • Assist with accommodation reservations for staff and guests.

Other Duties

  • Perform additional responsibilities as assigned by the Supervisor.
  • Work closely with internal staff and external partners such as UNHAS (WFP), hotels, and travel agencies.

Qualifications & Requirements

  • Bachelor’s degree in a relevant field.
  • Administrative, Logistics, or Supply Chain certifications (added advantage).
  • Experience with travel services and flight bookings (local and international).
  • Strong computer literacy for updating databases and tracking sheets.
  • Excellent organizational, multitasking, and time-management skills.
  • Familiarity with IRC systems is an added advantage.
  • Strong teamwork and customer service orientation.
