Job Description
The Danish Refugee Council is seeking a qualified and organized Administration Officer to support the smooth running of its Country Office operations in Abuja, Nigeria.
The successful candidate will oversee office administration processes, facility management, staff travel coordination, guesthouse operations, lease management, visa administration, and general office support while ensuring compliance with DRC policies and procedures.
This role reports directly to the Human Resources and Administration Team Leader.
Key Responsibilities
Facilities & Office Administration
- Ensure office facilities remain secure, functional, and compliant with health and safety standards
- Coordinate office maintenance and cleanliness activities
- Monitor utility payments, office supplies, and administrative expenses
- Manage office lease renewals and maintain relationships with landlords
- Maintain records of office keys and administrative assets
- Coordinate conference room bookings and internal meetings
Guesthouse & Accommodation Management
- Supervise the upkeep and cleanliness of guesthouses and expatriate residences
- Monitor guesthouse inventories and supplies
- Handle communication with landlords and facility users
- Ensure guesthouse guidelines are updated regularly
Staff Travel & Logistics
- Coordinate travel bookings for staff and guests
- Manage domestic flight and UNHAS bookings
- Maintain accurate travel and accommodation records
- Process travel-related purchase requisitions
Contract & Documentation Management
- Monitor service contracts, lease agreements, and framework renewals
- Maintain organized administrative records and reports
- Support vendor and maintenance service coordination
Visa & Immigration Support
- Manage visa application processes and documentation
- Maintain visa tracking systems
- Coordinate communication with consultants and applicants
- Ensure timely visa renewals and passport handling
Supervisory Duties
- Supervise office cleaners and guesthouse housekeepers
- Coordinate daily schedules and operational support staff activities
Qualifications & Requirements
Essential Requirements
- Bachelor’s Degree/HND in Business Administration, Public Administration, Human Resources, Secretarial Studies, or related disciplines
- Minimum of 3 years’ experience in administration, HR, or executive support roles
- Previous experience working with NGOs, UN agencies, embassies, or humanitarian organizations is highly preferred
- Knowledge of travel and immigration procedures
- Experience handling humanitarian flight services is an advantage
- Proficiency in Microsoft Office applications
- Familiarity with ERP systems is an added advantage
- Good understanding of HR processes and administrative procedures
- Strong English communication skills
- Ability to communicate in local Nigerian languages
