Job Description

The Administrative Assistant will provide administrative and operational support to the unit, ensuring efficient coordination of records, inventory, procurement, travel logistics, and laboratory administrative processes.

Key Responsibilities

  • Provide administrative and secretarial support to the unit.
  • Schedule meetings, prepare agendas, take minutes, and track action points.
  • Maintain calendars, filing systems, and administrative records.
  • Handle confidential information professionally.
  • Support inventory management and stock monitoring.
  • Process procurement requests, travel advances, and retirement documentation.
  • Track Oracle system requests and approvals.
  • Coordinate workshops, meetings, and travel logistics.
  • Maintain laboratory administrative records and operational trackers.
  • Support onboarding and orientation for interns and temporary staff.
  • Maintain records related to equipment servicing and maintenance schedules.
  • Prepare routine administrative reports and status updates.
  • Perform other duties assigned by the supervisor.

Qualifications & Requirements

  • Bachelor’s Degree in Business Administration, Office Management, Public Administration, or related discipline.
  • Minimum of two (2) years’ relevant work experience in a structured organization.
  • Previous experience in a laboratory, research, technical, or international development environment is an added advantage.
  • Experience maintaining filing systems, trackers, and administrative records.
  • Knowledge of ERP systems such as Oracle is an added advantage.
  • Strong proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and deadlines efficiently.
  • High level of accuracy and attention to detail.
  • Ability to handle confidential information with professionalism.
  • Strong organizational and follow-up skills.
