Job Description

The United Nations is seeking a highly organized and professional Executive Assistant to support the Resident Coordinator (RC) Office in Abuja. The successful candidate will provide executive, administrative, communication, and coordination support to ensure the smooth operation of the RC Front Office and effective engagement with stakeholders, government agencies, diplomatic missions, and UN entities.

Key Responsibilities

Executive and Administrative Support

  • Manage the Resident Coordinator’s calendar, appointments, meetings, and official engagements
  • Coordinate logistics and protocol arrangements for meetings, missions, and events
  • Prepare briefing materials, background documents, and meeting notes
  • Draft official correspondence, meeting minutes, note verbales, and reports
  • Manage travel arrangements, flight bookings, travel requests, and mission logistics
  • Maintain contact databases of government officials, diplomatic corps, UN agencies, and key stakeholders
  • Support the organization of official visits and high-level events

Communications and Coordination

  • Maintain digital and physical filing systems, including confidential records
  • Screen incoming calls, emails, and correspondence
  • Coordinate communication and scheduling for UN coordination meetings
  • Provide administrative support for UN events, commemorations, and public engagements
  • Monitor deadlines, commitments, and follow-up actions across the office

General Administration

  • Support administrative operations relating to finance, contracts, procurement, and human resources
  • Assist with documentation, visa processing, travel arrangements, accommodation, and relocation support
  • Collect, analyze, and present operational data and reports
  • Assist in preparing presentations, information materials, brochures, and web content
  • Support knowledge management and information-sharing activities
  • Perform other duties as assigned by management

Qualifications & Requirements

Educational Qualifications

  • Minimum of a High School Diploma or equivalent qualification

Preferred Qualifications

  • Bachelor’s Degree or higher qualification in:
    • Business Administration
    • Office Management
    • Communication
    • Related disciplines
